When we process personal data on behalf of a business client (for example, the end-customers of a company that has deployed a Joov chatbot), we act as a data processor. The business client is the data controller and is responsible for the lawful basis and notice given to those end-users.
3. Personal Data We Collect
3.1 Website Visitors
When you visit joov.ai, we or our analytics providers may automatically collect:
- IP address and approximate geographic location;
- Browser type, operating system, and device information;
- Pages viewed, time on page, referral URL, and other browsing behaviour;

3.2 Contact & Demo Requests
When you fill in a contact form, book a demo, or otherwise reach out to us, we collect:

- Your company name and role (if provided);
- The message or enquiry you submit.
3.3 Newsletter Subscribers
If you subscribe to our newsletter or marketing emails, we collect your email address and, optionally, your name.
3.4 Business Clients
If you engage Joov as a service provider, we may collect:

- Billing and payment information processed via our payment provider (we do not store raw card data);
- Knowledge-base documents you provide (PDFs, SOPs, menus, product catalogues, website content) so that we can train your AI agent;

3.5 End-User Conversation Data (Processor Role)
When your customers interact with an AI agent we have built and deployed on your behalf — via WhatsApp, a phone call, or a website widget — we process conversation data (messages, voice transcripts, lead information) as a data processor acting on your instructions. We do not use this data for our own independent purposes.
4. How We Use Personal Data
- To operate and improve the Joov.AI website and services;
- To respond to enquiries, schedule demos, and manage the sales process;
- To onboard and support business clients and manage client accounts;
- To build, train, and maintain AI agents on behalf of clients;
- To send newsletters or marketing communications (with your consent, where required);
- To comply with legal obligations and enforce our terms of service;
- To detect and prevent fraud, abuse, and security incidents;

5. Legal Bases for Processing (GDPR)

6. Third-Party Service Providers
- OpenAI — powers the natural-language understanding and generation capabilities of our AI agents. Conversation data may be sent to OpenAI’s API.
- ElevenLabs — provides text-to-speech synthesis for our Voice AI agents. Voice session data may be processed by ElevenLabs.
- Meta Platforms (WhatsApp Business API) — delivers messages through the WhatsApp channel. Applicable Meta policies govern message routing.
- CRM and integration platforms — if a client instructs us to integrate with their CRM, calendar, or other business systems, relevant data will be shared with those systems.
- Analytics providers — we use web analytics tools (e.g. Google Analytics) to understand site traffic.
- Cloud infrastructure providers — we host our services on reputable cloud platforms that maintain their own security and compliance certifications.
- Payment processors — billing data is handled by PCI-DSS-compliant payment providers. We do not receive or store raw payment card details.
We enter into data processing agreements (DPAs) with all sub-processors that handle personal data on our behalf.
7. International Data Transfers
Joov.AI is headquartered in Israel, which has been recognised by the European Commission as providing an adequate level of data protection. Data may also be transferred to processors located in the United States or other countries. Where such transfers occur outside the EEA or other adequacy-recognised jurisdictions, we rely on appropriate safeguards such as the EU Standard Contractual Clauses (SCCs) or equivalent mechanisms to ensure your data is protected.
8. Cookies & Tracking Technologies
- Essential cookies — strictly necessary for the website to function;
- Analytics cookies — help us understand how visitors interact with our site (e.g. Google Analytics);

- Contact and demo enquiry records: up to 3 years from last contact;

- Conversation logs processed on behalf of clients: typically 12–24 months (or as instructed by the client);
- Newsletter subscriber records: until you unsubscribe, plus a reasonable suppression period.
When data is no longer needed we securely delete or anonymise it.
